Senior Assistant Officer (Human Resources)

The incumbent provides comprehensive administrative support to the Human Resources Section [HRS] as well as secretarial support to Human Resources Director [HRD] and General Manager (HR) [GM(HR)]. This role also handles some daily operations processing for the Compensation and Benefits Team [C&B Team] and the HR Business Partner Team [HRBP Team].

 

The Job

Administrative and secretarial support for HRS

  • Arrange meetings and company car bookings for HRD and GM(HR).
  • Provide administrative support for HRS, including but not limited to incoming mails distribution, phone lines and seating arrangement, stationery and IT equipment ordering, access rights, business card printing, etc.
  • As the single contact point for other Divisions, coordinate the preparation and distribution of corporate-wise reports within HRS, and assist in the preparation of HRS annual budget.
  • Prepare contract award for approved vendors and arrange all payments (including petty cash) incurred by HRS.

Support C&B Team and HRBP Team

  • Handle daily operations of retirement scheme such as MPF enrollment forms and ORSO contribution notification, member’s termination, etc.
  • Prepare monthly movement report for Group Medical Insurance.
  • Assist the reporting of work injuries to relevant authorities and follow up with supervisors or the injured employees for medical reimbursement.
  • Handle administrative support including the Rental Reimbursements Scheme, managing ex-employee personal files, handling requests for employment proofs, reference checks, and various administrative forms, etc.

 

The Person

  • Diploma in HR Management/secretarial studies or relevant discipline
  • Minimum five years of experience in departmental support; previously worked in HR is an advantage.
  • Good organisational and multitasking abilities, as well as attention to details.
  • Good written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Chinese word processing and knowledge of HR management systems is an advantage.
  • Ability to maintain confidentiality and handle sensitive information.
  • Good team player with strong internal customer centric mindset
