The Job

  • Handle training logistics, maintain training records, and compile training evaluation summaries.
  • Support smooth coordination and logistics for estate and community events.
  • Provide secretarial support to the Division’s special task forces (e.g., ISO), including preparing agendas and minutes, coordinating meeting schedules, and offering general administrative assistance.
  • Assist in supervising the section’s clerical staff and monitoring their daily work.
  • Prepare correspondence and reports by drafting simple replies, typing drafts for managers, and entering data or information into standard documents or prescribed formats.
  • Develop, organize, and maintain the Section’s filing system; properly file correspondence, documents, and reports in accordance with guidelines.
  • Update various records, such as Approved List of Contractors, Full List of Services Contractors, contractor performance ratings, tender results, hotline and performance pledge statistics, small claims cases, etc. by accurately entering data into predefined spreadsheets or text files.
  • Update Policy & Procedures Manuals, Working Manuals, and ISO documentation.
  • Periodically update the PM Intranet Homepage, HS website, and Emergency Telephone List.

The Person

  • 5 passes in HKCEE / DSE, including English and Chinese, or equivalent qualifications.
  • Minimum 6 years of clerical or customer service experience, including at least 2 years in customer service–related industries.
  • Experience in logistics coordination is an advantage.
  • Basic understanding of estate management operations and commonly used industry terminology is preferred.
  • Proficient in PC applications such as PowerPoint, Excel, MS Word, and Chinese Word Processing.
  • Strong typing skills.
  • Good communication, coordination, and interpersonal abilities.
  • Mature, service-oriented, with good telephone manner and a strong team spirit.
  • Detail-oriented, organized, and capable of working independently.
  • Confident, with the ability to communicate effectively and handle enquiries from diverse customers.
