Senior Administration Officer (Record Management /Projects)

The Job

  • Perform duties pertaining to the daily operation of the records management function, including but not limited to creation and maintenance of physical and electronic records, corporate archives, etc.
  • Assist in the daily operation of records management function to ensure records integrity and easy records retrieval.
  • Coordinate and support on managing records in EDMS/ERKS, and ensuring proper records classification, taxonomy, retention rules, etc.
  • Assist in coordinating and supporting in the organizational and departmental records management projects/initiatives, in particular the implementation of ERKS project.
  • Compile and maintain records register for ensuring compliance with the records management policies and procedures.
  • Provide independent support service in the safe custody of corporate vital documents to ensure that the corporate vital records are properly maintained.
  • Provide training to colleagues on various records management practices in EDMS/ERKS.
  • Compile operational statistics for data analysis for records management function.
  • Provide other general support as directed including but not limited to records digitization, records indexing, etc.

  • Perform other ad hoc assignments as required.

 

The Person

  • Degree holder with at least 3-5 years’ experience in records management or information management or equivalent with demonstrated knowledge of electronic records and information management process in a sizeable organization.
  • Sound knowledge in records management or information management and related practices is preferred.
  • Strong knowledge of data processes and information systems.
  • Good knowledge or experience in Electronic Document Management System or Electronic Recordkeeping System or equivalent
  • Good research skills and ability to interpret analytical data.
  • Proficient in using MS Office (Word, Excel & PowerPoint), CapturePro and BI Reporting.
  • Good command of written and spoken English and Chinese.
  • Strong interpersonal and communication skills and be attentive to details.
  • A good team player and proactive.
  • Ability to work under minimal supervision.
  • Less experience will be considered as Administration Officer.
