Assistant Administration Officer (Maintenance)

The Job

  • Assist the administration team of the Maintenance Section in carrying out the administrative duties.
  • Prepare correspondence, tender documents, reports, minutes, etc by typing up drafts from superior, or filing in defined data/information into correspondence of standard format.
  • File daily correspondence and other documents according to established filing system and, for ambiguous cases, by referring to superiors’ specific instructions.  Maintain and update filing list as appropriate.
  • Maintain records e.g. Expenditure Commitment Record by extracting defined data from relevant correspondence/documents and entering the data into pre-designed spreadsheet/database correctly.
  • Prepare reports from database records according to pre-determined schedule or superior’s requests.
  • Despatch correspondence / documents for superiors as assigned.
  • Answer telephone calls by taken messages and referring enquires to appropriate personnel to answer.
  • Retrieve designated files / documents according to specific instructions.
  • Assistant in supervising clerical staff of the section and monitor their work.
  • Perform other clerical duties such as photocopying, arranging meetings as assigned by superior.

The Person

  • 5 passes in HKCEE, including English (Syl. B) and Chinese Language OR 5 subjects obtained Level 2 or above in HKDSEE, including English and Chinese.
  • Minimum 5 years secretarial / clerical experience.
  • Good PC skills.
  • Effective interpersonal skills and team work.
